Inviting Your First Client to Moveat: The Complete Onboarding Flow

When you invite a client to Moveat, a straightforward sequence unfolds: you send an email invitation, the client receives a link, creates a secure account, and submits their first check-in. This process is designed to remove friction so that you can begin following their progress without delay or confusion.

How the Invitation Works

From your Moveat account, you initiate an invitation by entering your client's email address. Moveat then sends them an email containing a personalised link. This link is unique to that client and valid for their account setup. The email is clear and direct: it introduces them to the platform and explains that they will track their weight, measurements, how they feel, and progress photos.

The tone of this invitation email sets expectations. Your client understands immediately that this is not a social media platform or a generic fitness app, but a private channel between them and you as their coach. The email arrives in their inbox just as you would expect a professional communication to arrive.

The Client's Account Creation

When your client clicks the link, they land on a secure account setup page. They choose a password that protects their personal account. This password is theirs alone, not shared with you, and Moveat stores it securely. The client then accepts the terms of service and gains access to their private check-in space.

What the client does not see at this stage is a payment screen, a subscription option, or a choice of membership tiers. That is because the client pays nothing. Their access is entirely enabled by your coaching relationship with them. You manage the account, you control the check-in frequency, and any costs are between you and them, decided outside of Moveat.

Understanding Check-In Data

Once logged in, your client arrives at their check-in interface. Here is what they report on each check-in:

  • Current weight
  • Body measurements (waist, chest, hips, or whichever you request)
  • How they feel (energy level, mood, sleep quality, stress, appetite, digestion, or any note they wish to add)
  • Three progress photos (front, side, back, or the angles you specify)

The client submits this information from their phone whenever you have scheduled a check-in. The interface is simple and does not include distracting features. There is no social feed, no leaderboard, and no app to download from an app store. It is a web page that can be added to their phone's home screen for convenience.

What Happens After the First Check-In

Once your client submits their first check-in, you receive it in your Moveat dashboard. You see their weight curve, their measurements, and their three photos side by side. You can compare these photos to any future check-ins and spot visual progress that the scale might not capture.

You then write their diet and training program based on this data. You set the macronutrient targets, and Moveat's food database allows you to compute calories and macros as you build out meal plans. You write each training session, exercise by exercise, with the detail and instruction your coaching style demands. The program is yours to create; Moveat stores it and presents it to the client.

Automated Reminders Keep Clients on Track

After the first check-in, Moveat automatically reminds your client when the next check-in is due. A push notification and an email arrive in the client's preferred language, prompt and reliable. This removes the need for you to chase them down or wonder whether they have forgotten. The reminder is consistent, which helps establish the habit of regular check-ins.

You control the frequency of these check-ins when you first invite the client. Whether it is weekly, fortnightly, or another schedule that suits your coaching method, Moveat adapts to your plan.

Data Privacy and Security During Onboarding

From the moment your client creates an account, their data is protected. Body photos are stored in a private bucket behind expiring signed links that are never public and never indexed by search engines. Only you can view them. This is essential for your client's privacy and for your professional responsibility as a coach.

Sensitive personal data like weight, measurements, and how they feel is also private to your coaching relationship. The data is hosted in Frankfurt, within the European Union, and complies with European regulation. You, as the coach, remain the data controller; Moveat is your processor in this arrangement. Your obligations to your client regarding their data remain yours to fulfil.

Common Barriers and How Onboarding Avoids Them

Many tracking systems fail at onboarding because they are too complex, ask for too much information upfront, or require the client to install software. Moveat sidesteps these obstacles.

There is no app store link, no waiting for downloads, and no installation confusion. The client needs only an email address and a password. The check-in itself asks for a specific set of metrics you define, not an overwhelming daily log of every meal and minute of exercise. Progress photos are just three pictures, not a tutorial or a difficult process.

The absence of billing screens, free accounts, and social features means your client never encounters a paywall or a prompt to upgrade. They arrive, they create an account, and they submit their first check-in. The experience is direct.

Setting Expectations in Your First Conversation

While Moveat's onboarding is straightforward, your role as the coach is to prepare your client before they receive the invitation. Let them know that an email is coming, what they will be asked to provide, and why these metrics matter to your coaching plan. A brief conversation or message can transform a neutral onboarding process into an exciting first step.

Explain that the three photos serve as a visual record alongside the scale and tape measure. Show them the angles or positions you want them to use. Clarify how often you expect a check-in and whether there are any constraints (time of day, before or after training, fasted or fed). This context makes the onboarding feel purposeful rather than procedural.

Reviewing the First Check-In

When your client submits their first check-in, you have a baseline. You see their starting weight, their measurements, how they describe their current state, and their physique in three photos. From here, your coaching begins in earnest. You write their diet based on their starting point and their goals. You design their training program. You set the check-in frequency.

Moveat then holds all of this information, shows it to your client, reminds them when the next check-in is due, and gives you the tools to spot patterns and progress over time. The onboarding is complete, but the work of coaching is just beginning.

Moveat includes standard password recovery. Your client can reset their password via email without contacting you. Their account remains secure and private.
